Volunteer Assistant Bookkeeper

Job Summary:

Purpose: To process financial activities of the company into an electronic database (Quickbooks) to allow financial management and exercise of fiduciary duties of the Executive Director and Board of Directors.  Ensure compliance with all Generally Accepted Accounting Procedures (GAAP) standards.  Facilitate account reconciliation and surety of liquid assets.  Prepare required reports and documentation of activities conducted to assist other staff and Directors in budget planning and fundraising activities. Manage payroll in a timely manner, operate as fiscal communications with staff and board, and support project and grant budget management. The Bookkeeper is expected to attend and deliver reports at all staff and Board meetings.

Scope and Effect: The work of the Electronic Data Entry/Bookkeeper directly affects everyone in the organization, vendors, and independent contractors as well as its public image.  The primary consideration is maintaining the overall financial system necessary to meet accounting standards and assure quality data management production and integrity.

Specific Responsibilities:

  1. Enters all money received into Quickbooks Data Base and assigns general ledger accounts. Coordinates with Donor Perfect, Development, and the Executive Directors on reconciliation.
  2. Assists the Executive with generating receipts for all identified donors and places in the mail.
  3. Enters all bills received into Quickbooks Data Base and assigns general ledger accounts.
  4. Processes payments; prepares all checks including operating expenses, staff paychecks and musician independent contractor payments; obtains payment authorizations and check signatures; and, mails or delivers checks.
  5. Performs monthly bank account reconciliations and credit card account posting.
  6. Works closely with Executive Director and Treasurer in generating financial reports for board meetings
  7. Works closely with the executive director providing specific financial information for grant and budget purposes.

General Responsibilities

Reporting Relationship: The Finance Director reports directly to the Executive Director with additional concurrent reporting the President and Treasurer providing specific information, recommended actions and other reports as required by the Company.

Supervisory Controls: The Finance Director receives minimal direct supervision.  Priorities for this position are set by the Executive Director, agency policy, and other internal mandates.  Deadlines are set for this position at the discretion of the Executive Director and Board on organizational policies and procedures.

Guidelines:  Many of the tasks and duties of the Bookkeeper are covered by formal guidelines; either in the form of policies and procedures set by the organization, by generally accepted accounting Principles (GAAP) accreditation, regulatory or licensing agencies.
